Rental Policies
All of the properties managed by BRYANT REAL ESTATE are privately owned and are rented on behalf of the property owner, subject to the provisions of the Rental Agreement. Each unit is furnished by the owner to reflect their taste and certain standards recommended by us. Since most reservations are made by phone, it is important for you to communicate your needs to our agents. If you have any special requirements of a particular quality in mind, we strongly suggest a personal visit to the property prior to confirming the reservation. It is unfortunate, but we will be unable to make other arrangements upon your arrival.
OCCUPANCY The occupancy limit of each property is designated in individual unit descriptions as LIMIT. Only infants who sleep in cribs are not counted in the total occupancy. All units and cottages are rented for family vacations only. We rent to responsible adults over 25. NO SORORITIES, FRATERNITIES, CHURCH GROUPS, WEDDING RECEPTIONS, "HOUSE PARTIES", "SPRING BREAK" PARTIES, or other such groups are permitted unless pre-approved by the Agent and Landlord at time of reservation. Requests must be in writing. If your request is approved, a substantial Damage Deposit will be required. A rent increase may also be required.
Overcrowding, misrepresentation or subletting is grounds for eviction and forfeiture of all monies paid and furthermore, may be dealt with under the 'defrauding an innkeeper' provision of North Carolina law. Bryant Real Estate reserves the right to enter any rental property to inspect for violation of rules.
RESERVATIONS Reservations can be made in person, by phone or Internet. A $40 (plus tax) non-refundable Reservation Fee will be charged to each reservation and disbursed upon receipt of your Advance Rent Payment. After making your reservation we will send you an RENTAL AGREEMENT that must be SIGNED and RETURNED with a 60% ADVANCE RENT PAYMENT by the cancellation date. Once we have received your payment and signed lease, we will send you a CONFIRMATION. If you are concerned that your Advance Rent payment may not reach us in time, please call to verify its receipt prior to the Cancellation Date. Due to the large numbers of reservations made, we will be unable to call you before automatic cancellation of your reservation.
While we strive to always provide accurate information, please note that verbal misquotes on rental rates, unit descriptions or policies will not be honored.
OFFICE LOCATION AND HOURS Our office is located in Wrightsville Beach at the corner of Salisbury Street and North Lumina Avenue. When you cross the drawbridge, stay on Highway 74 (veering left). As you approach the stop light one block from the ocean, you will see our office on the right hand corner. The street address is 1001 North Lumina Avenue. We've been at this location since 1954. Additional parking is available directly across Lumina Avenue toward the ocean in our parking lot.
We are open 7 days a week (except Thanksgiving Day, Christmas Day and New Years Day) from 9:00 AM - 5:00 PM, with extended hours during peak periods.
TRAVEL INSURANCE CSA Travel Insurance will be automatically added to your Rental Agreement. If you choose not to purchase the travel insurance, you must decline it on your first payment by initialing where indicated on your Rental Agreement. This plan is optional but we strongly recommend it. In case of unforeseen events, this insurance helps protect your vacation investment. A pamphlet describing the coverage will be mailed with your Rental Agreement. IF YOU CHOOSE NOT TO PURCHASE THIS COVERAGE, NO REFUNDS WILL BE GIVEN IN THE EVENT OF UNFORESEEABLE CANCELLATIONS, INCLUDING HURRICANE EVACUATIONS. (See Cancellation Policy below). Travel insurance cost will be shown on the Rental Agreement. Bryant Real Estate retains a percentage of the insurance premium amount to offset administrative expenses. Travel insurance cannot be purchased after your final balance is received.
ARRIVALS AND DEPARTURES During the summer season (June, July and August) our cottages and condominiums rent weekly Friday-Friday, Saturday-Saturday or Sunday-Sunday. "Magnolia Greens", "A Summer Place" (and a few other units) are available with a 2-night minimum any time during the year. Check the unit description for the applicable schedule for the unit you select. When you receive your RENTAL AGREEMENT and CONFIRMATION please read them carefully paying particular attention to the arrival and departure dates.
Even in Prime Season, nightly rentals of most units can be arranged on a "last minute" basis by calling our office on Wednesday before the weekend that you plan to come to the beach. Generally, a two-night minimum is required, but may differ depending upon the unit. Please note that Memorial Day and Labor Day weekends will be booked using the Prime Season Daily rates.
CHECK-IN is 3 p.m. and CHECK-OUT is 10 a.m. We will adhere strictly to these time schedules so that we can inspect and clean after each departure. Please do not attempt to arrive early or check out late. If the premises are not vacated by 10 a.m. a late check-out fee equal to one-half day will be charged. If you are planning to arrive after 5 p.m., please notify our office so that we can make arrangements for your check-in.
FINAL PAYMENT The balance due on your rental must be paid (in US funds) at least 14 days prior to arrival, unless prepaid through our Express Check-In option. We accept cash, certified funds, travelers' checks, money orders, personal checks and MasterCard or Visa. Payments for the required 60% Advance Payment cannot be paid by credit card due to credit card cancellation policies. Any check returned unpaid by the bank for any reason will incur a $30 Return Check Fee. Reservations made within 2 weeks of arrival must be paid in full by cash, certified funds or credit card. No personal checks accepted at check-in or less than 14 days before arrival.
North Carolina Sales & Use Tax (7%) and New Hanover County Room Tax (6%) are added to each reservation. Fairway Villas applicable taxes are 7% State Sales and Use Tax and 1% Brunswick County Room Tax. These tax rates are current as of the time of printing. Tenant will be responsible for payment of taxes applicable at time of occupancy.
DAMAGES/DAMAGE DEPOSIT Tenants will be held liable for any and all damages resulting from their occupancy. Unless you purchase the "Peace of Mind Damage Waiver" (see next section), a Damage Deposit ranging from $100-$1500, depending on the unit, will be added to your final balance. If your reservation does not require a Damage Deposit, you will be invoiced for any damages, excess cleaning charges, phone calls, cable TV charges, loss or damage to rental linens, etc. Any charges billed to you must be paid immediately or future rentals will be denied. Your Damage Deposit, after deducting actual damages, will be refunded within 45 days of departure. Any extra services ordered after your arrival (sheets, towels, crib, or high chair, etc.) must be paid at the time of the order. These charges cannot be billed after you go home.
"PEACE OF MIND" DEPOSIT WAIVER This optional Deposit Waiver covers most accidental damage to the rental unit up to $3,000. The cost of the plan is $39 for stays up to 30 days. Refer to the Description of Coverage mailed with your Rental Agreement detailing full terms and conditions. Purchasing the plan in lieu of paying the Damage Deposit does not negate your responsibilities as a Tenant. The waiver does not cover negligent or willful of wanton conduct. You must notify Bryant Real Estate of any damage or theft to the unit during your occupancy, or this plan is void. If you decide not to purchase the waiver, a Damage Deposit will be added to your final balance. Payment for the waiver will not be accepted after you occupy the unit.
IN THE EVENT OF A HURRICANE If we are put under a Hurricane Warning and the authorities issue a "MANDATORY EVACUATION" order for Wrightsville Beach, you MUST vacate your rental unit. Travel insurance coverage is your only option for a refund in the event of a Mandatory Evacuation. If you choose to leave in a "VOLUNTARY EVACUATION", there will be NO REFUND.
RESERVATION REQUESTS FOR NEXT YEAR If you want to reserve the same unit for the same week(s) for next year, you MUST make your reservation request BEFORE departing. All other requests will be accepted on a "first come, first served" basis. A $60 non-refundable Advance Booking Fee must be received within 15 days to hold your reservation. If your tentative reservation is unavailable, the $60 will be refunded or applied to a new reservation. After rates and owner usage are finalized in January, you will be mailed a Rental Agreement for the required 60% Advance Payment. These tentative reservations are non-binding until the 60% payment is made.
FURNISHINGS AND EQUIPMENT All of the cottages and condominiums are furnished with basic housekeeping accessories, dishes, cookware, flatware and various small appliances. MAID SERVICE, LINENS AND TOWELS ARE NOT PROVIDED except as indicated, but are available at additional charge with advance notice. Bed linens and towels should be ordered on your Rental Agreement form. There will be a $10 Set-Up Charge for every linen order. Since linen orders are made up and delivered in advance, any orders requested after arrival will be subject to an additional $10 Delivery Fee.
We have done everything possible to assure accuracy of the description, however we CANNOT be held responsible for printing errors, changes in furnishings by owners, or equipment failure. Re-arrangement of furniture is prohibited.
MAINTENANCE All equipment should be in proper working order, but you should promptly report anything inoperative. After-hours repairs will be limited to emergency situations only. All efforts will be made to expedite repair but NO REFUNDS WILL BE MADE. Guests will be charged for unwarranted service calls. Please keep a key with you when you leave your unit to prevent accidental lock-outs. If we have to come to your unit to let you back in, a key delivery fee of $25 will be charged.
SMOKE DETECTORS For your protection and peace of mind, smoke detectors are installed in each rental property. Please test all smoke detectors immediately upon check-in and promptly report any malfunction.
GRILLING Grilling is strictly prohibited on any decks, porches, balconies, etc. due to extreme danger of fire.
CONDOS, TOWNHOUSES, SPECIAL HOUSES Many rental units have restrictions against smoking, boat trailers, jet skis, recreation vehicles and number/size of vehicles. You will be mailed a copy of the Special House Rules with the Rental Agreement. If you have any special needs please let us know before making your reservation.
CLEANING Upon your arrival, please notify us immediately if you do not find the unit clean. If we have not heard from you within one hour of your check-in, we will assume that you found the accommodations in an acceptable condition. All rentals are provided with vacuum, mop and broom. If these items are missing, please call our office. All other cleaning supplies are the responsibility of the renter. Please follow the Check-Out Procedure described in your check-in package or inside the rental unit. Any extra cleaning required by failure to abide by these procedures will result in charges to your rental account. "Maid Service" is available during your stay or on check-out at an additional cost.
CHECK-OUT PROCEDURES 1. Wash all dishes, cookware, utensils, etc.; empty dishwasher and return all items to their proper places. 2. Remove all food from refrigerator (including staples like ketchup, mustard, etc.). 3. Put all trash in garbage bags and place in outside trash containers. In general, leave the unit neat and tidy. 4. Turn off all lights, set thermostat at 78 degrees in summer or 55 degrees in winter. 5. Close and lock all windows and doors. 6. Return all keys to the Bryant Real Estate office by 10:00 a.m. See "Arrivals and Departures". Any extra cleaning required by failure to abide by these procedures will result in charges to your rental account.
PETS Most of our properties DO NOT permit pets in or on the premises. A few rental units will allow one mature, housebroken dog with payment of a $100 non-refundable Pet Fee. These properties are designated in the unit's description. No cats allowed! You must disclose the pet when making your reservation. Any damage or excess cleaning required due to pet hair, odor, etc. will be charged to your rental account. If a pet is discovered at a "No Pet" property or without advance notice at a "Pet Allowed" property, there will be a $100 charge, the pet must be removed and your occupancy may be cancelled with no refund given. The Town of Wrightsville Beach's ordinance regarding pets is:
1. Pets must be kept on leash at all times. 2. No pets are allowed on the beach strand between April 1 and October 1. 3. Pet owners must collect and properly dispose of pet waste.
TELEPHONE CALLS/ CABLE TV CHARGES All properties are equipped with phones for local calls. The phone number will be on the Confirmation (Area Code 910). Most units have a "block" to restrict direct-dialed long distance calls. Do not attempt to bypass the blocking system. No long distance or toll calls are to be charged to the unit phone. Use your calling card or a pre-paid phone card. Any unpaid telephone or cable TV charges will incur a $15 Administrative Fee, plus the amount of the call charges.
RENTAL SERVICES Cribs, high chairs, rollaways, linens, towels, and daily maid service can be provided, at an additional charge, subject to availability. Please make arrangements at time of reservation if possible.
LOST AND FOUND We will not be responsible for any personal items left in units, but will attempt to locate lost items for you. Mailing charges, plus a $15 Administrative Fee are required if you request us to mail any items back to you. Due to limited storage space, any items found in units will be kept in our office for 30 days only, after which time they will be donated to charity.
HOUSE FOR SALE Occasionally a rental house may go on the market for sale. In such case we reserve the right to show the property to qualified buyers. We will make every effort to schedule the showing at a convenient time and not interrupt your vacation. Your cooperation is appreciated. If your rental unit is sold within 180 days of your rental departure date, your Lease may be enforced. If sold more than 180 days and no longer offered for rent, we will make every effort to accommodate your needs or refund your advance rent payment.
PROPERTY SUBSTITUTION Bryant Real Estate reserves the right to substitute comparable accommodations or refund your total payment if a vacation unit should become unavailable for any reason.
DISCLOSURE In accordance with the National Association of Realtors Standards of Practice and Code of Ethics, it should be disclosed that Bryant Real Estate has a contractual relationship with the Landlords represented in this brochure. This contractual relationship employs us to act as their agents and treat all parties (tenants and landlords) honestly, fairly, and in good faith. More information is available in the office of Bryant Real Estate at your request.
The price of any services provided by or through Bryant Real Estate may include a profit for the company.
CANCELLATION If your reservation is cancelled more than 90 days in advance of your rental period, you will receive a refund of your Advance Rent Payment minus a $75 Cancellation Fee and non-refundable Reservation Fee/Advanced Booking Fee. Travel Insurance Premiums are not refundable. If less than a 90 day notice is given and the unit is not re-rented, there is NO REFUND unless your claim is covered by Travel Insurance. Transfers of confirmed reservations to other cottages or units are treated as cancellations. There will be a $10 Transfer Fee to change your unconfirmed reservation to another unit or time period. ALL TRANSFERS AND CANCELLATIONS MUST BE CONFIRMED IN WRITING.
OFF-SEASON RATES Most properties offer discounts outside the peak summer period. The following are the rate periods established and the method of calculating the "off-season" rates. Not all properties follow these guidelines. Please consult a Rental Agent to determine the exact rate for the property you wish to rent. Some properties are not available in the off-season.
